System Renewal to Support Growing Volumes and Sustainability
ALSO Finland Oy is part of the international ALSO Group, one of Europe’s leading distributors of ICT products and services. The Group’s core business includes the distribution of hardware and software, the provision of IT solutions, and a wide range of related services.

One of ALSO’s key services in Finland is the End-of-Lifecycle (EOL) service, which supports the controlled decommissioning and reuse of used IT equipment. The objective of the service is to ensure that devices are given an economically and environmentally sustainable next phase of use.
Through the service, even large volumes of decommissioned devices from our customers are collected directly from their sites, securely data-wiped, and condition-graded before being directed to reuse, return to financing companies, or resale. As device volumes increased with the development of the service, there was a need to further develop the EOL system and automate more related tasks to save working time and ensure quality.
Implementation
The implementation progressed in phases in close collaboration with the customer. The goal was to build a solution that supports continuous process development, is easily scalable for future needs, and addresses the everyday challenges identified by the customer and users.
Monad’s particular strength has been in user interface and functional design.

The project included, among other things:
- Mapping current processes and identifying development needs together with users
- Defining the EOL process flow and the role of the application as part of the overall solution
- Aligning physical process stages and digital tools into a unified whole
- Creating wireframes for user interfaces and developing UI designs based on them
- Continuous design support throughout the project
- Iterative development carried out by two software developers and a UX designer
- Organizing weekly review sessions and maintaining continuous dialogue with the customer
- Designing and implementing integrations, some of which were connected to logistics operators’ systems
The working model ensured that the software was renewed step by step, user experience remained central, and business value guided decision-making. As the renewal was implemented so that the old system operated alongside the new one, the new solution could be piloted and features introduced in a controlled manner. This approach resulted in a solution capable of handling growing device volumes and providing a solid foundation for future development.

The new web-based solution reduces the need for separate installations and makes the system easier to use. It effectively supports the process from device intake and condition grading to storage, ensuring that the entire EOL chain remains under control. The efficiency of the EOL process increases as large device volumes can be handled more systematically, and the system can be easily expanded in the future.
Designing both the physical and digital aspects of the EOL process also simplifies onboarding of new employees thanks to its intuitive structure. In addition, operational issues encountered during use are now logged in the system, improving transparency and supporting continuous improvement.
The solution was implemented using modern web technologies and in phases, enabling controlled deployment and piloting of the new system alongside the old one. This reduced risks and created a sustainable foundation for further development. At the same time, the renewal advances ALSO’s sustainability objectives: decommissioned devices are directed in a controlled manner to recycling or reuse.
Operations are supported by international certifications: the ISO 14001 environmental management system ensures conservation of natural resources, the ISO 9001 quality management system supports continuous improvement, and information security services comply with ISO/IEC 27001 requirements from the customer’s premises onward.
Monad has supported the development of the EOL process and its supporting systems in multiple phases, helping to ensure the solution’s continuity and alignment with business needs.
